Reliable stock information depends on recording movement, not just counting items.

Follow what changes

For a support business, inventory may include packaging, equipment or office supplies. Each receipt, allocation, return or loss changes the available quantity. Define how those events are recorded and who may adjust a count. Licensed operators may face additional tracking requirements; ordinary stock records do not replace a regulated system.

Investigate the difference

When a count differs from a record, look for the missing event rather than immediately overwriting the balance. Was an item assigned to a project? Was a return processed? Did two people record the same receipt? Document the correction and its reason. This approach makes the record more useful for purchasing and scheduling while preserving a trail of how the discrepancy was resolved.

  • Define how receipts, allocations and returns are recorded.
  • Control who may adjust a quantity.
  • Record the reason for each correction.
