Begin with the real workflow
Observe the task before writing the instructions. State the starting condition, the expected result and the sequence that connects them. Use the names of actual documents or tools rather than vague phrases such as process as usual. Where a step requires approval, identify who can give it and what evidence they need.
Test with another person
Ask someone unfamiliar with the task to work through the procedure in an appropriate training setting. Note where they must guess or ask for missing information. Add an exception path for incomplete records or a failed step. Record the version and review date so people can distinguish the current procedure from an obsolete copy.
A short working checklist
- Describe the starting condition and expected result.
- Make approvals and exceptions explicit.
- Test the instructions with a new reader.
